1. Introduction

This Joint Privacy Statement explains how your personal information is collected and used when you complete the AI Readiness Assessment, hosted at www.emmaweber.com and delivered via Jotform, in partnership between:

Both organisations are joint data controllers for the assessment programme, meaning they jointly determine the purposes and means of processing your personal data. Each is independently responsible for ensuring that its own processing activities are lawful.

For all other data processing activities (outside the assessment), please refer to each organisation's own privacy policy. Vivat Learning's Privacy Policy is available at www.emmaweber.com.

2. What Data We Collect

When you complete the assessment, the following information is collected:

• Your name and email address;
• Your job title and organisation name (if provided);
• Your responses to the assessment questions;
• The date and time of your submission; and
• Technical data collected automatically by Jotform, including device type, IP address and browser information.

3. Why We Collect This Data

Your information is collected to:

• Provide you with your individual assessment results and insights;
• Enable Vivat Learning and Owl's Ledge to understand your professional context and tailor their respective training and consulting services;
• Improve the assessment methodology over time; and
• Conduct aggregate, anonymised research on how professionals engage with AI (no individual will be identified in any published research or reporting).

4. Legal Basis for Processing

Assessment data

Your assessment data is processed on the basis of your consent, provided by ticking the required consent tick box on the assessment form before submitting. This confirms your agreement for both Vivat Learning and Owl's Ledge to process your data as described in this statement.

You have the right to withdraw your consent at any time by contacting either organisation (see Section 9). Withdrawal of consent does not affect the lawfulness of any processing before withdrawal.

Marketing communications (optional)

If you tick the optional marketing opt-in box, you separately consent to receiving marketing communications from Vivat Learning Pty Ltd and/or Owl's Ledge. This is entirely optional and is not required to participate in the assessment.

You can withdraw marketing consent at any time by clicking "unsubscribe" in any email or by contacting either organisation.

5. How Each Organisation Uses Your Data

Both organisations may use aggregated, anonymised data (where no individual can be identified) for research, thought leadership and public reporting.

6. Data Processors

Your assessment data is processed by the following third-party service providers on behalf of both joint controllers:

Your data will not be sold to any third party. Neither organisation will share your personal information with any other organisation without your consent, except where required by law.

7. International Data Transfers

Because Jotform, AWeber and Google are US-based, your data may be transferred to and stored in the United States. Both companies operate under appropriate data transfer safeguards (including Standard Contractual Clauses) for transfers from the UK and EU. Acumbamail, as an EU-based company, processes data within the European Union.

Both joint controllers take reasonable steps to ensure your data is protected in accordance with applicable privacy laws when transferred internationally.

8. Data Retention

Assessment data will be retained for 2 years from the date of your submission, after which it will be securely deleted or anonymised. If you subsequently engage with Vivat Learning or Owl's Ledge as a client, your data may be retained as part of the ongoing client relationship.

Aggregated, anonymised assessment data (from which no individual can be identified) may be retained indefinitely for research and analytical purposes.

9. Your Rights

You have the following rights in relation to your assessment data:

• Access — request a copy of the personal data we hold about you;
• Correction — request that inaccurate or incomplete data be corrected;
• Erasure — request deletion of your data in certain circumstances;
• Restriction — request that we limit how we process your data;
• Withdrawal of consent — withdraw your consent to processing at any time;
• Portability — receive your data in a structured, machine-readable format (where GDPR / UK GDPR applies); and
• Lodge a complaint — with the relevant data protection authority (see Section 10).

10. Complaints

If you are not satisfied with how either organisation has handled your personal information, you may lodge a complaint with the relevant supervisory authority:
